Selected Work

Helena helps businesses turn ambitious ideas into scalable operating models.

Her work spans programming strategy, market expansion, partnerships, team design, operational systems, AI tools and automation, and quality control. These case studies show how she has approached growth by building the infrastructure required to deliver them consistently.

From a Local Calendar to 250+ Events Each Month

Building the programming, team structure, and operating model behind a national event ecosystem.

A membership-based social platform needed to expand its programming without turning its calendar into a collection of disconnected events.

Helena helped build a repeatable event ecosystem based on recurring formats, clear programming standards, local host teams, partner-supported experiences, audience segmentation, AI automations, and centralized operational processes.

The result was a national program delivering approximately 250 events each month across seven cities.

From New York to a National Expansion

Creating a repeatable model for launching community programming in new markets.

Expanding into a new city requires more than planning ads and announcing a launch.

Each market needs programming, partners, staff, local knowledge, operating infrastructure, and a clear reason for members to participate.

Helena developed and managed the systems used to expand a New York-based social platform into Miami, Chicago, Los Angeles, Washington, DC, Houston, and Austin.

Replacing fragmented processes with clearer ownership, centralized tools, and AI-supported workflows.

Rapid growth had created an operation in which event information was distributed across multiple sheets, documents, inboxes, and internal tools.

Helena mapped the work, identified the most expensive and error-prone processes, and built the systems required to centralize information, improve accountability, and support automation.

This included a new set of AI-supported workflows for compliance, partner communication, reporting, event submissions, and copywriting. Together, these tools were designed to eliminate approximately 60 hours of recurring manual work per month, or 700+ hours annually at current volume.

Building a Partnership Ecosystem

Creating relationships that improved programming, member value, and event economics.

Partnerships are central to any community—let alone one without a permanent clubhouse.

Helena developed venue, cultural, fitness, hospitality, and brand relationships while creating standards for evaluating value, negotiating member access, and deciding which opportunities did not make strategic sense.

Protecting Community Quality at Scale

Using standards, data, and reporting to maintain trust across hundreds of monthly events.

Growth creates more opportunities for inconsistent execution, unclear value, poor-fit partners, targeting mistakes, and member-safety concerns.

Helena built quality standards, reporting tools, audit practices, and escalation procedures to identify issues early and correct the underlying process rather than repeatedly addressing individual mistakes.
